Copilot check

Copilot renewal coming up? Find out who's using it

Before you renew another year of Copilot seats, get a clear picture of who uses it, what it's worth, and what to change. Fixed fee, quoted before we start.

Sound familiar?

  • The Copilot renewal date is on the calendar and you still don't know who uses it
  • You're paying for seats because cancelling felt riskier than renewing
  • Nobody can say which teams get real value from it, or for what work
  • Staff mention ChatGPT or other tools, and you suspect there's overlap

What changes

A clear usage picture

Paid seats compared with active users, and the features people actually touch, in one plain summary.

A decision before the deadline

Renew, reduce, move or cancel each seat with evidence, instead of signing again on autopilot.

Quick wins switched on

The two or three Copilot uses that fit your team's real work are set up and shown to the people who need them.

A fixed, knowable cost

The check is a fixed-scope engagement: fixed fee, quoted before we start, with no licence commissions.

How we'd approach it

  1. Pull the usage reports

Where your Microsoft 365 plan allows, we read the admin usage reports. Where it doesn't, we run a short, no-blame staff survey.

  2. Match use to real work

We compare what Copilot can do with the tasks your team repeats every week: quotes, emails, meeting notes, client documents.

  3. Decide seat by seat

Each seat gets a recommendation: keep, move to someone who needs it, or cancel. Overlapping tools are flagged the same way.

  4. Show and hand over

Staff keeping seats get short, task-based guidance. You get a written summary you can act on before the renewal date.

What it might look like

Engineering consultancy · 35 staff · illustrative

Half the seats, twice the use

Usage reports show 12 of 30 seats active. Seats move to the proposal and report writers, short training covers three everyday tasks, and the renewal is reduced to match.

Accounting firm · 22 staff · illustrative

Renewal decided in two weeks

The survey finds most value in meeting summaries and email drafts. Ten seats are kept, eight cancelled, and a simple usage check is scheduled before the next renewal.

These are illustrative examples of the kind of work involved, not results from specific clients.

What we measure

We agree a baseline before changing anything, then check the same numbers afterwards.

  • Paid Copilot seats compared with weekly active users
  • Copilot features in regular use
  • Subscriptions retired or downgraded
  • Renewal decision made before the deadline

Works with what you have

This check focuses on Microsoft 365 Copilot and the usage reporting your plan already includes. We also look at overlapping AI tools staff mention, such as ChatGPT or Gemini. We don’t sell licences and don’t earn commission from Microsoft, so our advice isn’t tied to keeping seats.

Questions

Do you sell Microsoft licences?
No. We don’t resell licences and we don’t earn commission. Sometimes the right answer is fewer seats, and our advice isn’t affected by that.
What if our plan's usage reports don't show much?
Then we rely on a short, anonymous staff survey and a few conversations. Personal-account use is common, and people answer honestly when there’s no blame attached.
Our IT provider manages our Microsoft tenant. Can you still help?
Yes. Licensing, security and tenant administration stay with your IT provider. We focus on whether Copilot fits the work, and we share our findings so they can make the changes.
How long does a Copilot check take?
It’s a short, fixed-scope engagement, usually a few weeks from kickoff to the written summary. The fee is quoted before we start and doesn’t change.
